Job Title: Procurement Assistant

Department: Controllership - Purchasing

Reports to: Procurement Head

Supervises: None

Division: Corporate Resources

Basic Function

Assists and/or coordinates all procurement activities in the Real Estate Division, Corporate Resources Division and General Partners, ManCom and Board Staff involving, but not limited to, the accreditation of suppliers, canvassing and purchasing of goods and services, evaluation of suppliers’ performance, and identification and implementation of cost-savings initiatives; coordinates with the Shopping Center Division on its procurement activities to ensure the consistent application and alignment of procurement policies and procedures across the company; and performs related functions.

Duties and Responsibilities

1. Contributes in the formulation and updating of procurement policies, procedures and strategies regularly for relevance and ensures effective implementation thereof.

2. Coordinates with division/department heads on procurement activities and ensures consistent application and alignment of policies and procedures across the company.

3. Develops, accredits and maintains a pool of competent, reputable and reliable suppliers and service providers.

4. Ensures that the vendor master files in Microsoft Dynamics are updated, complete and properly classified as to category, level of preference and status.

5. Verifies and processes purchase/capex requisitions to ensure completeness of documentation, approval authorities, and availability of budget.

6. Ensures that needed goods and services are purchased at the most cost-effective means.

7. Evaluates performance of service providers and suppliers in coordination with other departments and recommends appropriate action.

8. Implements cost-savings programs in coordination with other departments.

9. Understands the logical and efficient planning system within the Procurement Section that supports company vision, mission and objectives.

10. Contributes to a highly motivated, competent, loyal and committed Procurement team that will deliver best results without sacrificing individual work-life balance.

11. Adheres to a system of controls which measures actual performance against standards/plans and identifies performance improvement areas, and secures prompt and effective corrective action so that standards/plan are achieved and continuous improvement is ensured.

12. Performs related functions as required from time to time.


Minimum Qualification Requirements

Education: Graduation from college with a baccalaureate degree in Engineering, Procurement/Logistics, Business Administration or related courses.

Experience: Must have at least 1-2 years experience in procurement or related work, preferably in real estate, property development or construction industry
